Sick Time Policy

Department:  All Departments

Policy:  Regular, full time, and part time employees accumulate sick hours based on hours paid. For each hour paid .03846 hours of sick time is accumulated. For all staff a maximum of 288 hours is allowed to accumulate.

Procedure:

  1. Sick time begins accruing from the date of hire, but may not be used until 90 days of employment are complete.
  2. Sick pay will be granted to regular employees who are absent from assigned days of employment due to personal illness or that of a minor child in need of supervision. Other uses of sick pay are a violation of policy and may result in disciplinary action.
  3. Sick time will be paid for scheduled hours only.
  4. Staff may use sick time for a medical appointment as needed, but should not be using sick time for an entire scheduled shift without prior approval from their supervisor/department head. Their department head may evaluate the necessity for taking off an entire day for an appointment. Staff may use sick time for the duration of an appointment and work the remainder of their shift on a given day, whether this means arriving late, leaving early, or leaving for part of their shift.
  5. To receive sick pay employees must:
    1. Notify Schmitt Woodland Hills at least two hours before the start of their scheduled shift.
    2. Must complete a “Time Off Request Form” and submit it to their Department Manager for approval.
  6. Anyone who is off work due to illness more than three (3) days may be required to provide the Department Manager with a statement from their physician indicating that the employee may return to work with NO restrictions.
  7. Sick days are not paid during non-scheduled time, vacation time or personal holiday time.
  8. If a sick day falls on a paid holiday, the employee is paid for the holiday not the sick day.
  9. Accumulated sick hours will be paid to retiring employees who are 62 years or older at the salary or hourly rate in effect at the time the employee retires. Should the retiring employee ever resume employment with Schmitt Woodland Hills, they are no longer eligible for paying out of sick pay at their next retirement. Pay out of sick time may only occur once.
  10. State regulations do not permit the payment of sick pay when an employee is receiving Workers’ Compensation.
  11. Per diem employees are not eligible to receive paid sick time off.If a staff member is on a FMLA, they may be required to use their accumulated sick time and vacation time while on leave.
