Policy:

Schmitt Woodland Hills believes that hiring qualified individuals to fill positions contributes to the overall success of the company. Each employee is hired to make significant contributions to Schmitt Woodland Hills. In hiring the most qualified candidates for positions, the following process must be followed.  Schmitt Woodland Hills is an equal opportunity employer.

Procedure:

1.     Personnel requisitions

  • Personnel requisitions must be completed to fill Schmitt Woodland Hills positions. Requisitions must be initiated by the Department Head and then forwarded to the human resource (HR) department.
  • Personnel requisitions should indicate the following:
  • Position title.
  • Position hours/shifts.
  • Exempt or nonexempt status of the position.
  • Reason for the opening.
  • Essential job functions and qualifications (or a current job description may be attached).
  • Any special recruitment advertising instructions.

2.     Intake meetings

HR will arrange a meeting with the hiring Department Head to conduct an intake meeting prior to posting a job opening to learn more about the position, the requirements and the profile of the ideal candidate.

3.     Job postings

HR will create job postings that briefly describe the job opening. All job openings will be posted concurrently on Schmitt Woodland Hills Facebook Page, Website, and the Employee Facebook Page and externally with sources appropriate for the position being filled. Job postings will also be posted in the employee breakroom. Jobs will remain posted until the position is filled. A proof of the ad for the job position will be approved by the appropriate Department Head before the ad is sent out for publishing.

HR will be responsible for tracking all applicants and retaining applications and resumes as required. As HR collects the Applications/Resumes, HR will forward on a copy of them to the appropriate Department Head.

For Department Head/Manager positions, the position will be posted internally and externally and all applicants will need to apply for the position even if they are already current employees.

Non-management positions will be posted internally first and then posted externally if needed.

4.     Internal applicants

Current employees with a satisfactory employment status may apply for internal job openings. All applicants for a posted vacancy will be considered based on their qualifications and ability to perform the job successfully. Internal candidates who are not selected will be notified by the HR department.  

 5.     Interview process

The Department Head that is hiring will screen applications and resumes prior to scheduling interviews. Initial interviews will be conducted by the hiring Department Head using a structured interview process. Candidate evaluation forms will be completed after each interview and retained with the Application/Resume.

The HR department will notify applicants who are not selected for positions at Schmitt Woodland Hills. 

6.     Reference checks

The Department Head will conduct reference checks on the candidate that they feel is appropriate for the position.  A minimum of two references are required from the candidate.

7.     Job offers

After a decision has been made to hire a candidate, an offer will be made contingent on the satisfactory completion of the required background check, completion and passing of a drug test (See Substance Abuse/Testing Policy), licensure verification (if required), and reference checks. Background checks may vary depending on the position and may include criminal history, driving record (if applicable), drug testing or any other relevant information for the job.

Once the HR department receives satisfactory results from all requirements above, candidates will be notified by the Department Head of a day and time to come in to to complete necessary paperwork, etc.   Schmitt Woodland Hills reserves the right to rescind any job offer up until the point that the employee has started their on the job training.
